Bulk Location Update
The Bulk Site Update procedure enables you
to change the Customer, Service Provider, or
Alarm Company for a range of sites (also known
as locations). It is most likely to be used
when you are transferring a block of sites from
one Service Provider to another.
To access the Bulk Site Update procedure,
select \Maintenance \Sites - Bulk Update from
the Main Menu. You require Accounts or
Administrator access to make this selection.
You can also make a bulk change Location
Customers or Alarm Companies by choosing 'Bulk
Change Location Customer' (see below).
The window is divided into 4 sections.
Section 1.
Reduces the list of sites in the list below to
match your selections.

You can make one or more entries in the
top row. It's not necessary to make the
full entry, e.g.
- enter new in the Suburb
field to see suburbs like
Newtown,
Newstead.
- place% before your entry
for a wildcard search.
%castle will match both
CastleCrag and
Newcastle
- If you are using an Oracle database
system, your search must have the same
case. If a suburb is entered as
Newtown you must search for it by
entering Newtown and not
NEWTOWN.
- You can select a Customer, Service
Provider, Alarm Company, or Post Code (if
postcodes installed) by pressing a button.
Pressing the same button again will clear
that field.
- After making your entries you must
press F3 to commence the search.
Section 2.
Displays a list of sites which has been
filtered according to your selection. Only
tagged sites will be updated.
- Highlight a site and press the Space
bar to tag or untag it.
- Pressing the Tag all shown
button will tag all sites which correspond
to your selections in Section 1. This may
include sites which are not visible on the
screen (because they are further down or up
the list). This button is greyed out if you
have made no selections in Section 1
because it would cause all sites in your
database to be tagged.
- Pressing the Untag all shown
button untags only sites which correspond
to your selections in Section 1. Other
sites remain tagged.
- Pressing the Untag all button
removes all tags from all sites, including
those which don't correspond to your
selections in Section 1.
- You can locate a specific site in this
list by selecting a tab and typing the
name. For example, to search for a site
called University Bookshop, click on
the Site Name tab and then type in,
say univ. The list will move to the
nearest match.
- You can search and tag as many times as
you like. When you change your search
selections, the previous tags are retained
(the sites can be seen in Section 3.)
Section 3.
This is a list of sites which have been tagged.
You can remove a site from this list by
pressing the Delete key. You can sort
the list by clicking on the name at the top of
a column.
Section 4.
Here you specify the changes you want to
make.
- If no entry is made, no change is made
(e.g. if you don't enter a customer code,
the site's customer will not be
changed).
- Click on the button to the left of an
entry to clear the existing entry, or look
up a new entry.
- If you choose Transfer keys too,
all keys for the site will be
transferred to the new service provider.
For more options in transferring keys, go
the the Key Register (select \Operations
\Keys from the Main Menu).



To reach this window, select \Accounts
\Customers \Bulk Change Location Customer.
This is a simplified version of the Bulk
Location Update window (above) which is more
suitable for Accounts staff.
To operate
- Select a Customer to see all the
locations currently linked to that Customer
(the list may take a few seconds to
display).
- Select the new Customer for the
locations.
- Optionally, specify a new Alarm Company
for the locations (the term Alarm Company
may have been changed depending on your
system configuration).

Select a commence date to apply the
change to Charges and Services. Items
which have been invoiced, marked 'Never
Invoice', or marked 'Invoice Now' will
not be affected. Remaining items with a
Received Date on or after the specified
date will be changed.
- Pricing will be recalculated
for all Charges or Services which
have the Customer change applied.
This ensures that the new
Customer's pricing is being applied
but it will also mean that any
manual prices will be recalculated.
You should check pricing
for any jobs or charges for
the 'New' Customer in the Prepare
Items for Invoicing window before
issuing invoices.
- Select the locations to change. In most
cases you will click on Select
All to select all locations linked
to the 'old' customer.
- Select or deselect additional locations
by double clicking on them or highlighting
them and pressing the Space bar.
Locations to be changed will display a green
tick next to the location name. Press the
Move Locations button to
change them.
